Collaboration Tools: Microsoft Teams - Managing and Sharing Files in OneDrive and SharePoint Through Teams (Live Online Using MS Teams)

Description

New to, or confused about online file storage and collaboration? This course aims to take the mystery out of managing your files online, how to set file permissions and you will have an understanding of online file management in SharePoint, Teams and OneDrive.

Please note that the course is taught using Microsoft Teams and you must have Teams installed on your computer to participate. See System requirements below for more information.

By the end of the course you will understand:

  • The difference between OneDrive, Teams and SharePoint
  • Where should I save my files?
  • Who can see which files, where they are stored and file permissions
  • Checking out a file to prevent others editing it
  • Setting file permissions
  • Guest access to files
  • Various approaches to sharing files, e.g. in chat, Posts, via links
  • File management techniques such as renaming, moving / copying / recovering files in Teams / SharePoint
  • Version history and restoring previous versions of files
  • Q&A throughout the session

System requirements
  • Installed Microsoft Teams app.
  • It is possible to join using Edge or Chrome but there is less functionality when using a browser.
  • Important: The instructor cannot troubleshoot access to Microsoft Teams on the day of the course. If you are in an institution that is managing their own Teams tenancy (CAMENT, JBS, medschl and some of the colleges) then you may not have access to the files or calendar used in the course. Please contact the instructor in advance to discuss this.
  • It's advisable to make a test call in advance of the session.
  • The course will start promptly at the time shown but will be open up to 15 minutes beforehand should you wish to check your audio and visual setup or meet your instructor.
Notes

What we expect from participants

  • The course will be taught using Microsoft Teams.
  • Please join the meeting at least 5 minutes before the start time to avoid disruptions.
  • If any files need to be downloaded and opened, ensure this is done before joining the meeting so you’re prepared to follow the exercises.
  • At the start of the lesson, please turn on your microphone and camera, introduce yourself, and say hello. Once the lesson begins, keep your microphone muted but leave your camera on. This helps the trainer assess your understanding. There is nothing worse for the trainer than speaking to an audience they can’t see.
  • Participants are expected to actively engage with the lesson and the trainer. Our lessons are not webinars where you can sit and watch. There will be activities to do.
  • Feel free to ask questions at any time.
  • If the trainer requests you to raise your hand on Teams to indicate you’ve completed an exercise, please do so promptly to help them decide when to proceed.
  • We welcome your interaction throughout the course. Your contribution will enhance your own experience as well as that of others. Thank you.
